Organising a successful corporate cocktail reception: the complete guide
Opening, leaving do, end-of-year party: format, menu, quantities, drinks, timing. The complete guide to a successful corporate cocktail reception.
Nobody talks about a successful cocktail reception the next day: that is the sign everything went well. A failed one, on the other hand, leaves a mark: canapés running out, slow service, guests leaving hungry. More relaxed than a seated meal, more generous than a simple buffet, the corporate cocktail reception is the format that best encourages conversation, provided you master a few rules. Here they are.
In short: a successful corporate cocktail reception comes down to four choices: the format, the quantity, the drinks and the timing. Allow 6 to 8 canapés per person for an aperitif reception, 12 to 14 for a lunch reception and 16 to 18 for a dinner reception, with a 10% margin.
- Packages: L'Invitation (8 canapés) €29.90 excl. VAT, La Réception (12 canapés) €40.90 excl. VAT, La Célébration (16 canapés) €51.90 excl. VAT per person.
- Drinks: 3 to 4 per person for a 2-hour reception, with at least three different flavours.
- Delivery €29 excl. VAT in Paris and neighbouring towns, €50 minimum order (excl. VAT).
- Order until 2 pm the day before; 48 hours' notice recommended from 50 people or for several sites. Quote within 24 hours.
Choosing the right format
Two main formats shape the choice. The aperitif reception (1.5 to 2 hours) stays light: a few bites and drinks, not meant to replace a meal, perfect for after-work drinks or an end-of-day launch. The dinner reception (2.5 to 3 hours) is more substantial: guests must be able to eat properly. It is the most common format in companies, because it avoids the constraints of table service while offering flexibility on timing and on how guests move around.
The countdown for a corporate cocktail reception
| When | What to do |
|---|---|
| 3 to 4 weeks before | Set the date, the venue and an estimated headcount; request a quote |
| 2 weeks before | Choose the format (aperitif, lunch or dinner reception) and the package |
| 1 week before | List dietary requirements (halal, vegetarian, gluten-free, allergies) |
| 2 days before | Confirm the headcount, adding a 10% margin |
| The day before, before 2 pm | Last possible adjustment to quantities |
| On the day | Delivery, set-up and welcoming your guests |
The menu: the balance of hot, cold and sweet
A good dinner reception combines cold canapés (verrines, open sandwiches, bites) and hot canapés (mini quiches, puff pastries, bites to reheat). Add a selection of self-service cheeses and charcuterie to break the overly formal feel of tray service, and plan desserts in mini format (sweet verrines, petits fours) rather than a separate dessert, which is harder to manage standing up. The rule: variety, but with a common thread; ten well-made canapés are better than twenty unrelated ones.
Quantities by duration
The proven guidelines: 6 to 8 canapés per person for an aperitif reception, 12 to 14 canapés for a lunch reception and 16 to 18 canapés for a dinner reception, about one third of them hot. Always plan 10% more than the confirmed number: in companies no-shows are rare, but a colleague who “just pops in” often ends up staying.
The drinks
A successful corporate cocktail reception does not need alcohol. A well-curated alcohol-free bar suits all your guests, whatever their habits, and avoids the question of alcohol consumption at a company event. For toasts, an alcohol-free Chardonnay Blanc de Blancs (0%) replaces champagne. For the rest, go for variety: Alain Milliat juices and nectars (apple, orange, strawberry, mango), organic lime and ginger infusions, still and sparkling water. Allow 3 to 4 drinks per person for a 2-hour reception, and at least three different flavours so that everyone finds their own.
Entertainment: the detail that transforms the evening
A cocktail reception becomes more memorable as soon as something happens in front of the guests. A live culinary station, a carving bar or a dish prepared on the spot, creates a gathering point, fuels conversation and gives the evening an extra soul that tray service alone cannot reach. It is often what guests remember.
Timing and planning ahead
The slots that work best: 6 pm to 8:30 pm or 7 pm to 9:30 pm. They let people get home at a reasonable hour while creating a real evening moment. Tell guests the date at least three weeks in advance. On the caterer's side, ordering remains possible until 2 pm the day before; for 50 people or more, or several sites, give at least 48 hours' notice, and more for events with heavy constraints (access, security, staging). For large-scale receptions, made-to-measure support is better than a catalogue.
